About the Role

Reporting to the Personnel Committee of the Square Inch Houston Board, the Administrative Coordinator supports the day-to-day operations of the organization, ensuring that it runs efficiently and that all members of the team have what they need to succeed (such as equipment, supplies, recordkeeping, and a safe and supportive work environment). The Administrative Coordinator also coordinates communication and information flow between SIH’s key stakeholders: board members, staff, donors, funders, and community partners.

Part-time remote position.
4 hours per week on average. Tuesday, Friday, and Saturday are the preferred workdays. Available to work evenings and weekends occasionally.
Paid hourly at $18-$20/hr.
Potential start date: September 2025.

Essential Duties & Responsibilities include
● Work collaboratively with Square Inch Houston’s employees and board members to execute the mission and vision of Square Inch Houston.
● Coordinate with the board and the Directors of Operations and Programming to develop annual goals and action plans for your position.
● Develop, implement, and continuously improve administrative policies and procedures.
● Organize files, records, and databases for easy access while assuring permission-based data security.
● Assist with the management of the organization's email account and phone calls to the organization's phone number by forwarding messages to the appropriate person and consulting with the Director of Operations to respond to communications appropriately.
● Manage general correspondence (e.g., thank you letters to donors, communications with organizations).
● Check the organization’s post office box bi-weekly.
● Assist with coordinating meetings, appointments, and events: venue selection, menu planning, registration, and volunteers. Adhere to meeting and event budgets.
● Request and organize information from the staff and board for use on the organization’s website and social media pages. Interface with the social media vendor as assigned.
● Order necessary supplies and equipment. Provide receipts monthly to the board treasurer for all expenditures.
● Submit actual work hours every two weeks using the prescribed timesheet app.
● Attend meetings as requested.
● All other duties as assigned.

Requirements

  • Bachelor’s or associate’s degree in business management, communications, or a

  • related field.

  • At least two years of experience in providing administrative support.

  • Exceptional interpersonal, written, and verbal communication skills.

  • Excellent organizational and time management skills.

  • Ability to work independently and manage tasks simultaneously.

  • Proficient in Microsoft 365 and Google Workspace applications.
